General Terms and Conditions of Membership and Play:
Doylestown Pickleball may implement one or more court reservation, event management, player management or other software platforms (“software”) to support the administrative functions of many of its day-to-day operations.
In order to participate in any event or rental, one or more software accounts may be required. You agree to maintain the minimum required number of active accounts using the software. Details of all current prerequisite software may be found on the DP website.
In order to open certain accounts, a valid credit card number may be required. In such cases, account holders agree to provide and maintain one, or more, valid credit card numbers on file for each applicable account. Account holders authorize DP to charge one, or more, of said credit cards for any and all goods and/or services that DP agrees to provide, or has provided, to the account holder. You agree not to dispute such transactions with your bank or credit card company provided that the amounts charged are in accordance with the terms and conditions given in this document. If you disagree with a transaction, you agree to attempt resolution with DP before seeking remedy elsewhere.
DP may offer different membership options with various benefits. Such membership options may require the payment of a fee both for initial purchase and for subsequent renewal. You understand that the renewal fees may differ from the original purchase fees. It is the account holder’s responsibility to ensure that membership fees are paid by the due date. Non-payment of membership fees may result in a change of membership status without notice. DP reserves the right to alter its membership options at any time and for any reason. You understand that membership does not provide any guarantee of court, event or rental availability under any circumstances.  DP reserves the right to cancel your membership at any time and for any reason. Members may request cancellation of their own membership at any time and for any reason. Such requests must be submitted using the appropriate form(s) available on the DP website. You agree to pay any and all outstanding fees prior to your membership cancellation request being executed. Further terms and conditions of membership and membership cancellation may be found on the DP website.
You agree that refunds for goods and/or services may be made as credit to one, or more, of your accounts. You agree to allow a reasonable amount of time for such refunds to be processed. You understand that no interest shall be payable on accounts with a credit balance. Where appropriate, you may request that a refund is made to a credit card held on file on file for you. In such cases you agree to pay any and all fees associated with such a refund; said fees may also include fees associated with the original payment(s). All such fees shall be deducted from the amount refunded. If the fee amount equals or exceeds the value of the refund, no refund shall be made.
Events:
Membership and event registration are mandatory for each and every participant in any and all events.
Membership and rental setup are mandatory for each and every renter.
For events and rentals where a fee is payable for participation, registration shall not be considered complete until all required fees are paid in full and receipts for same exist in the software database. Note that receipt for registration and receipt for payment are not the same.
For events and rentals where no fee is payable for participation, registration shall not be considered complete until a registration receipt exists in the software database.
The current fee schedule for events and rentals is published on the DP website.
The duration of an event or rental is between the hours specified in the software. You agree that registration, and associated payment where applicable, provides entitlement to participate in that specific event or rental only. Separate registration, and associated payment where applicable, is required for all events and rentals in which you participate.
Doylestown Pickleball reserves the right to charge your account for any and all activities in which you engage. Regardless of member status and duration of participation, taking part in any event, for which you are unregistered, shall be charged at the full applicable published non-member rate for that event. When no specific event exists, any unregistered facility use shall be treated as a court rental and shall be charged at the full applicable published non-member rate. The duration of such a rental shall be a minimum of one hour or the actual facility use, whichever is the greater. The number of courts included in such a rental shall be the number of courts used regardless of duration.
Although our facilities are continuously monitored by CCTV and all court use is recorded, much of our operation relies on an honor system approach.
Subject to court availability, you may “warm-up” only on courts assigned to your event or rental up to ten minutes prior to its scheduled start time.
At the end of the time allotted to your event or rental, and subject to court availability, you may complete a game in progress if you wish, but you may not start a new one.
You agree to adhere to these conditions and to respect this honor system. You understand and agree that failure to do so may result in financial penalties detailed elsewhere in this document.
Court assignments for events and rentals are given at the time of initial registration, but are subject to change. You agree to verify your court assignments at the time you enter the facility for your specific event or rental and restrict your play to those courts only.
Events:
You understand and agree that you are registering for yourself only and that you may not bring guests under any circumstances.
The renter understands and agrees that they assume full responsibility for the actions and behaviors of all others persons participating in their rental regardless of the membership status of said participants.
When arriving for events or rentals and after your session is finished, you agree to respect those who have acquired the right to use the courts before and after you.
Please keep out of the way of those who are playing and do not engage in activities behind the courts that will distract or hamper them. Behave in the manner that you would expect from others if they were waiting to play or preparing to leave the facility.
You agree to adhere to the general principles of conduct stated in the USA Pickleball Sportsmanship Guide which may be found on the USA Pickleball website.
Group Play events are exactly that; events where all participants have the opportunity to play with others in a group environment. During Group Play, you may not monopolize the courts nor "reserve" courts for your own use while excluding others from joining in. If you wish to engage in such behavior, please rent courts instead. Do not attend Group Play events if you are not prepared to play with, and against, any other player, regardless of your perception of their ability to play pickleball. Rotate on and off the courts fairly - generally following a "winners stay on and split" approach. Any players waiting to play must be given the opportunity to join a new game once the current game has concluded.
Where appropriate, an indication of skill level for events is included in its title and/or description. As a courtesy to other players, please ensure that you meet this skill level requirement.
Although some events may be more suitable for players that are relatively new to the game, none are intended for those who have never played. Other registrants for these events are there to play; not to teach you. We offer various lesson options for those wanting to learn how to play. Please review the DP website for more information on classes and clinics.
Guideline definitions of Player Skill Ratings may be found on the USA Pickleball website and/or the DP website.
Weather, an insufficient number of registrants or other unforeseen circumstances may result in cancellations at short notice. Although we endeavor to send out notification advising of cancellations, it remains your responsibility to check the status of your scheduled activity and number of other registrants (where appropriate). If you choose to use our facilities after your event or court rental has been cancelled, you may be charged; see “Limitation and Duration of Event and Rental Registration” elsewhere in this document.
If we cancel an event or rental, any applicable credits and/or refunds will be made automatically. Please review the Doylestown Pickleball website for more information on cancellations and refunds relating to your event or rental.
Players and renters are responsible for cancelling their own registrations for events and rentals. The date and time at which your cancellation occurred shall be deemed to be that recorded by the software; cancellations shall not be considered complete until such a record exists in the software database. The amount of notice that registrants are required to provide, in order to qualify for refund, varies by event type. Please review the DP website for more information on cancellations and refunds relating to your event type or rental.
You understand and agree that cancelling your event registration or rental, without providing the requisite period of notice, may negate refund eligibility.
Eligible refunds for events and rentals will be processed automatically and typically within 48 hours of eligibility; you do not need to do anything. As noted elsewhere in this document, refunds are made as account credits. Note that you may not generally receive notifications from DP concerning refund activity.
You agree to cancel your registration for an event if you are unable or unwilling to attend. No-shows potentially impact all other participants. You may be taking up a spot that another player could use or others may simply be counting on your attendance to make up player numbers. Whatever the case, other players deserve consideration.
Group Play & Instruction:
In general, all participants in events must be a minimum of 16 years of age. Individual events show minimum age requirements in their respective details.
Age restrictions for tournaments vary. Please consult the tournament website or the tournament director for specific information.
Children may participate in court rentals if accompanied by a parent or legal guardian. The parent or legal guardian must be at least 21 years of age and remain with the child at all times. The parent or legal guardian is responsible for ensuring that the child is appropriately dressed (including footwear) and has suitable eye protection.
At its sole discretion, DP may make equipment available to its players. Unless noted elsewhere or with separate special arrangement, such equipment may not be removed from DP’s premises under any circumstances.
Assume that other players and renters do not want to hear your music. If you want to play your own music, you must first seek approval from all other court users and respect their wishes; some find music distracting. If you are playing music, you must maintain a volume level that is acceptable to others; although your fellow court users may not object to music, they may not share your taste. You may not play music if any type of lesson is taking place in your vicinity. Those playing music are responsible for acquiring any and all rights to do so.
The use of alcohol, tobacco and all other recreational drugs is never permitted while you are on our premises.
The chewing of gum is not permitted while you are on our premises. If you are chewing gum when you arrive, please dispose of it in one the trash cans provided.
You agree to abide by Doylestown Pickleball’s dress code. A copy of the current dress code may be found on the DP website.
Pets are not permitted on our premises.
DP’s hours of operation are given on the DP website. These hours are subject to change without notice.
DP may use the software to send notifications via email, push notifications and SMS (text message) only. Although DP endeavors to notify players and renters of all relevant changes to event and rental status, you agree that it is your responsibility to check the status of all events and rentals for which you are registered.
DP is a private facility which deploys various types of audiovisual recording devices. You acknowledge and agree that your voice and likeness in video may be recorded and that any such recordings may be edited, copied, exhibited, published and/or distributed for any lawful commercial and/or non-commercial purpose.
This agreement remains in effect until withdrawn or superseded.
